Instantly vs Smartlead: which cold email tool fits your team

Both send from unlimited inboxes with warmup built in. The real difference is the shape of your team: one business sending, or an agency running clients.

Disclosure: SaaS Relaunch is an Instantly Solutions Partner, and Instantly is one of the tools we set up for clients, who own and fund their own accounts. The partnership does not decide any verdict here: every claim links to its source.

The short answer

Pick Instantly if you are a founder or a small team sending for one business: sending, warmup and a unified inbox (Unibox) in one simple workspace, with its lead database and CRM sold separately when you want them.

Pick Smartlead if you are an agency or run outbound for several brands: client workspaces with white-label at $29 a client, a master inbox on every plan, and a CRM included from Pro.

Neither decides your deliverability on its own. Domains, warmed inboxes, verified lists and sending volumes do, so set those up first.

Instantly and Smartlead pricing in practice

Monthly billing in US dollars, October 2026. Smartlead's annual billing saves 17 percent.

The list prices are close; what differs is what each plan counts. Instantly's Growth plan caps the contacts you can upload at 1,000 a month and the emails at 5,000, which pushes anyone sending steadily to Hypergrowth (25,000 contacts, 125,000 emails). Smartlead's Base plan counts 2,000 active leads and 6,000 emails, and its active-lead limits are fixed by plan: they do not reset each month.

From both vendors' plan pages, October 2026. Some third-party guides give Smartlead Pro 150,000 emails; Smartlead's own pricing page says 90,000.

Neither price includes your sending infrastructure: the domains and mailboxes you send from. Budget for those separately with either tool; a Google Workspace or Microsoft 365 mailbox costs about $7 a month on annual billing.

Agencies: workspaces, white-label and the math

This is where the two tools part ways. Smartlead is built around client workspaces: on Pro and Unlimited Smart, each white-label client workspace costs $29 a month, and Unlimited Prime includes three. Instantly sells one subscription per workspace, and an email account can sit in only one workspace at a time; its white-label agency portal (your domain and logo) needs Hypergrowth or Light Speed.

For an agency the arithmetic is simple to check: Smartlead's Unlimited Smart plan at $174 plus ten white-label clients at $29 each comes to $464 a month, before any sending infrastructure.

Who should choose which

Choose Instantly if

  • You are sending for one business, as a founder or a small team
  • You want one simple workspace, with replies in one inbox
  • You would rather buy contact data and a CRM only when you need them

Choose Smartlead if

  • You run outbound for several clients or brands
  • You need white-label client workspaces
  • You will build on the API and webhooks, for example to sync replies into your own systems

Inbox, AI and CRM: the day-to-day

Replies are where the day goes. Smartlead's master inbox is on every plan. Instantly's Unibox shows replies on every plan, but replying from it needs Hypergrowth or Light Speed, which is a reason a team on Growth often upgrades sooner than planned.

Both now draft replies with AI. Instantly's AI Reply Agent costs 5 credits for each reply it generates, sent or not, and can reply without approval (autopilot) from Hypergrowth. Smartlead's Reply Agent drafts inside the master inbox, and every draft waits for a person to review it. For cold email, a person approving each reply is the safer default either way.

For the pipeline itself, Smartlead includes a CRM from Pro; Instantly's CRM is a separate subscription (Growth CRM at $47 a month, Hyper CRM at $97). If you already run HubSpot, Attio or Pipedrive, you will likely sync to it instead; see the best CRM for startups (opens in a new tab).

What reviewers report

  • Instantly rates 4.8 on G2 from about 4,100 reviews, where its most tagged drawbacks are price, missing features and a learning curve. Trustpilot reviewers are harsher (3.8 on the UK site from 907 reviews), mostly about the CRM and inbox placement tests being sold as add-ons and support being chat only.
  • Smartlead rates about 4.5 on G2 from roughly 420 to 450 reviews; G2's summary lists customer support among both its pros and its cons, and warmup issues among the cons. A small set of Capterra reviews (7) mentions HubSpot not receiving email activity and glitchy imports.
  • On G2's head-to-head page, Instantly scores about 9.5 for quality of support, Smartlead about 8.6 to 8.9.

Deliverability: what actually decides it

Both tools warm inboxes and rotate sending across them. Instantly's warmup network is over 1 million real accounts by its own page (a July 2026 review cites 4.2 million); Smartlead assigns a warmup pool by plan, from Foundation on Base to Premium on the Unlimited plans. One practitioner comparison found that with identical setups, deliverability landed within 2 to 3 percent between the two, so the setup underneath matters more than the logo on top, and whether warmup itself helps is contested (our warmup guide weighs the evidence (opens in a new tab)). That setup is the same for both:

  1. Separate sending domains. Never cold email from the domain your company runs on.
  2. Authenticated, warmed inboxes. Set up SPF, DKIM and DMARC, and warm each inbox before it sends. Google requires authentication and one-click unsubscribe from bulk senders, and asks them to keep spam rates below 0.1 percent, never reaching 0.3 percent.
  3. Verified lists. Remove invalid addresses before every campaign; bounces damage the domain, not the tool. See email verification tools compared (opens in a new tab).
  4. Modest volume per inbox. Spread sending across inboxes instead of pushing one hard.
  5. Copy written for one ICP. Relevant messages get replies, and replies are what inbox providers reward.

Both sell extra deliverability tooling. Instantly's inbox placement tests are a paid add-on (unlimited one-time tests on its $47 tier, automated tests on the $97 tier, checking 94 blacklists). Smartlead sells SmartDelivery as an add-on; we could not confirm its current price.

Switching from one to the other

Both connect the same Google Workspace or Microsoft 365 inboxes, so switching does not mean new domains. Reconnect the inboxes, let warmup run in the new tool before sending, export your leads with their status, and move one campaign at a time so replies stay in one place.

If LinkedIn is your second channel, pair either tool with a LinkedIn tool; see LinkedIn automation tools compared (opens in a new tab). For where this layer sits in the whole stack, see the GTM tech stack for early-stage founders (opens in a new tab).

Questions

Is Instantly or Smartlead better for deliverability?

Neither decides it alone. Both warm and rotate inboxes; your domains, authentication, list quality and volume per inbox decide where emails land. One practitioner test found the two within 2 to 3 percent of each other on identical setups.

Which is cheaper, Instantly or Smartlead?

Entry plans are close: $47 a month for Instantly Growth and $39 for Smartlead Base, on monthly billing. The difference is what you add: lead credits and a CRM on Instantly, client workspaces on Smartlead.

Can I run an agency on Instantly?

You can, with one subscription per client workspace and a white-label portal from Hypergrowth. Smartlead is built for it: client workspaces at $29 each on one account and a master inbox across clients.

Do Instantly and Smartlead include email warmup?

Yes. Both include warmup and unlimited email accounts on their plans, so you do not need a separate warmup tool to start.

Does Instantly include a CRM?

Not in the sending plans. Instantly's CRM is a separate subscription, from $47 a month. Smartlead includes its CRM from the Pro plan, and both sync to HubSpot.

Is SaaS Relaunch affiliated with Instantly?

Yes. SaaS Relaunch is an Instantly Solutions Partner and sets up Instantly for clients, who own and fund their own accounts. It does not decide this comparison; every claim links to its source.
